Before anybody hands over a program’s week to new software, they want to know what it does to their staff, their parents and their budget. Here it is.

Getting the staff on

How do my assistants get accounts?

You add them. On the Staff screen you type a coach’s name, a username and a first password, and hand those two things over — they sign in at the same page you do. There is no code to pass around, no invitation to accept and nothing sitting in somebody’s inbox. The same screen resets a password, signs a coach out of every device, and switches access off when somebody leaves: they stay named on every task, grade and depth-chart pick, they just cannot sign in any more.

Can an assistant coach wreck something?

Assistants can read everything and work their own assignments: change status, claim unclaimed tasks, mark messages read. Editing the schedule, the roster, logistics and the message board is limited to the head coach and coordinators. Billing is head coach only.

Do players and parents get logins?

No, and that is deliberate. Sixty player accounts and a hundred and twenty parent accounts is a support job nobody on your staff wants. Players and parents are audiences you publish to, with their contact details on the roster record, not users you administer.

Running the week

What happens to work we did not finish?

Roll it forward. Pick the week it came from, pick the week it is going to, and every unfinished task moves over with its category, day and assignee intact. Finished work stays where it happened so the week is still an honest record.

Is the practice script actually usable on the field?

It is built the way a script is built: periods in order, each with a duration, a unit — offense, defense, special teams or team — and the install written next to it. The board adds up the minutes as you go, which is usually where a script falls apart.

Can two coaches book the same room?

They can try. CoachingHQ checks the facility and the time window when you save, and if it overlaps an existing booking it saves as a conflict and shows up on the dashboard. Finding out on Sunday is the entire point.

Money and the off-season

What does the trial include?

Everything. 14 days with no card — the same single plan you would pay for, with nothing switched off. When it ends, the program keeps its data and waits on the billing screen until the head coach subscribes.

How do I pay, and how do I stop?

The billing screen sends the head coach to Stripe’s own checkout page, which is also where receipts, a new card and cancellation are handled. CoachingHQ never stores card details. Cancel and the program stays open through the period you already paid for.

Do I pay all twelve months for a ten-week season?

That is your call. There is no contract: $100 a month if you only want the season, $1,200 a year if you run winter workouts and spring ball on it too. A lot of staffs subscribe in August, cancel after the playoffs and start again the next summer — your weeks, roster and scripts are all still there when you come back.
